JOB PURPOSE: The Chemistry Stockroom Manager assists Department Chair and staff in the preparation of departmental laboratory and stockroom supply budgets. This position works independently performing a broad range of highly skilled administrative and clerical functions. It prepares and verifies all documents related to purchase orders, accounts payable, cash receipts, budget transfers, check requests, travel advances, reconciliation, petty cash, and payroll for summer research students. This position also acts as a purchasing agent for the Chemistry Department and faculty/adjunct faculty for research projects and grants. This position is responsible for hiring, processing personnel paperwork for, and directly supervising one or more student employees in the Chemistry department.
ESSENTIAL FUNCTIONS: Reporting directly to the Department Chair, the Laboratory Stockroom Manager Chemistry performs the following essential duties and responsibilities:
Monitor and assist in the preparation of drafting budgets and process budget documentation. Hire, process personnel paperwork for, and directly supervise one or more student employees in the Chemistry department. Must complete the bi-annual AB 1825 Sexual Harassment Prevention Training as required by the State of California.
Hire, train, and supervise work-study students.
Identify/evaluate potential vendors; research products; negotiate purchase agreements of laboratory supplies; in some cases, arrange equipment and service contract/repair orders.
Establish and maintain a reorder system to ensure adequate inventory levels based on historical usage and forecasting requirements.
Work with the College chemical hygiene officer, who has the primary responsibility for laboratory safety.
Participates as a member of the Disaster Assistance Response Team (D.A.R.T.) for the Chemistry Department.
Perform basic repairs to labware and, in some cases, fabricate and/or assemble parts used in connection with laboratory classroom experiments.
Perform minor labware repairs and replace broken glassware.
Maintain a computerized inventory program. Perform an annual physical inventory of chemicals and labware.
Store hazardous waste for all Chemistry labs.
Maintain budget information for senior thesis and summer SURP for faculty.
Collate and distribute lab manuals and related personal protective equipment safety materials.
Prepare and distribute accurate laboratory locker contents sheets.
Assist with check-out and check-in of laboratory lockers; issue equipment.
Assist with grant administration
Acts as a liaison with Dean of the College's office to track budgets and process budget documentation for internal and external faculty.
Provide information on faculty and student research and assist with grant reporting.
Notify facilities about student swipe access to Seaver North building and computer labs. Perform special projects/tasks/duties and provide assistance as assigned.
QUALIFICATIONS:
Education: High School Diploma or GED is required, or equivalent combination of education and experience. 2 or more years of college or business school in office administration is preferred.
Experience: A minimum of 1 year of general office experience with increasing responsibility in administrative and clerical assignments is required. Experience with word processing and spreadsheets, including Microsoft Word and Excel, is required. Experience working independently, taking initiative, and managing office functions is required, preferably at an academic institution.

Operate computers proficiently with basic Microsoft Office software (such as Word, Excel, Outlook) and associated professional software. Be willing to learn and use software and applications (such as Workday, Coursedog, Smapply, Canvas, Box, Google Drive, etc.) to effectively complete tasks. Use assigned technology/devices/equipment to achieve departmental goals and maintain confidentiality.
Handle all activities and highly confidential information with patience, discretion, good judgment, courtesy and tact while working with people from a wide variety of backgrounds.
Prioritize and perform multiple projects/tasks, meet deadlines/timelines, respond to others in a timely manner, and work both independently and as a collaborative member of the College with a high standard of integrity and ethics, in support of the College's strategic vision and the division's/department's annual goals.
Use exceptional organizational and time management skills to complete work with accuracy and a keen attention to detail.
REQUIRED HOURS: The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday â“ Friday. Holiday, weekend and evening work hours may be required. Travel may be required. Regular hours may vary due to needs of the College or division.
HOURLY RATE:
The hourly rate for this role is between $27.35 to $38.74 with a competitive benefits package. The specific factors that the College will consider when offering the higher end of the salary to an individual will include, but not be limited to: education, training, relevant prior experience, and performance in prior roles.
